 TABLE BOOKINGS: POLICIES & PROCEDURES

MacEwan Student Centre (MSC) is a focal point for students, staff and faculty, making it a very attractive location for vendors to sell their goods. The building serves as a centre for student activities, clubs, Students’ Union administration, Health and Counselling services, the Native Centre and the University Bookstore. A popular food court, licensed bars and restaurants, retail and recreational services are also located in the building. From September to April, over 120,000 people pass through MSC on a weekly basis.
We encourage you to read the following information thoroughly before making your table bookings. If there are any questions left unanswered, please don’t hesitate to contact us.
RESERVATIONS & CANCELLATIONS

Seasonal reservations are accepted as follows:
- Cancellations within 10 days of the reserved date will result in forfeiture of the payment.
- Changes to a reservation within 5 business days of reservation date will incur an additional $10 charge.
- Cancellations and changes must be submitted via email to: tables@macewancentre.com or by fax: 403-210-8160 at least ten business days prior to the reservation date.
- There will be no credit or refund applicable to any vendor who does not show up on the appointed booking date.
- Reservations are subject to availability; please allow two to three business days for processing.
Rates and Promotions
$85.00/Day
Sanctioned Clubs: Ten free information tables and one free sales table per semester. Charities are entitled to two days per semester at no cost with valid registered charity ID number.
Package Pricing All package dates must run concurrently.
3 Days: $240.00 5 Days: $375.00
Loyalty Program: After booking 3 tables at full rate, receive all subsequent ones at 20% discount (Exclusive of packages and other programs) for the remainder of the semester.
Referral Program: Successfully refer a new client and receive a 50% discount on your next table day. Conditions apply.
All rates are subject to 5% G.S.T.
PAYMENT Full payment for all reservations must be submitted with the signed contract a minimum of ten business days prior to first booking. Payments are accepted by cash, cheque, Visa or Mastercard and must be submitted to the MacEwan Conference & Events, U of C Students’ Union at MSC 210.
USE OF EQUIPMENT & SPACE
Table use hours are: 8:30 am - 4:30 pm, weekdays. Extended hours of operation are available with permission at an additional $20 charge. Weekend reservations available with permission only. Tables must be occupied by 10:00 am or booking will be cancelled (advise by 9:00 am of late arrival, call 220-3032).
The rented space is limited to an eight foot table and two chairs. Excess displays or materials are not permitted, i.e. card tables, shelves, etc. Availability of power is limited and extension cords are not provided. All cords must be properly secured to prevent any tripping hazard.
Tables must be left in the same condition as when supplied. Use only masking tape when taping to tables. The table and surrounding area is to be cleaned at the end of rental period, i.e. boxes and tape removed. Failure to do so will result in a minimum $20 clean-up fee.
Operation is limited to a one metre perimeter of the assigned table. Approaching or soliciting individuals is prohibited.
Fire and building regulations must be followed. Obstructing hallways, doorways, stairwells, or any pedestrian walkway is not permitted.
SELLING OF GOODS & SERVICES The following guidelines must be followed with regards to providing information and selling goods and services;
- The Students’ Union reserves the right to refuse a rental. Materials must be reviewed by the SU, upon request, prior to the first reservation date.
- Vendors are not permitted to sell items or services available for sale by the permanent tenants of the MacEwan Student Centre without the written consent of the tenant.
- Selling trademark goods or knock-offs of brand names is not permitted without the express written consent of the trademark or brand name holder.
- Vendors must conform to all requirements specified by law and are responsible for the purchase of any operating licenses required.
- The Students’ Union will not accept responsibility for any legal action taken against a group.
